When you create an account we collect your full name, email address, phone number, business name, trade category, and service area (city / ZIP code).
1.2 Call & Communication Data
Our AI answering service processes inbound phone calls on your behalf. We collect call recordings, transcriptions, caller phone numbers, call duration, and any information the caller provides during the call (e.g., name, address, job description).
Call Recording Disclosure: All inbound calls handled by our AI assistant are recorded. Callers are informed at the beginning of each call that the call may be recorded. By using the Service, you authorize us to record calls made to your CallCrew phone number on your behalf. It is your responsibility to ensure compliance with any additional recording consent requirements in your jurisdiction.
1.3 SMS & Text Messages
When you create an account you consent to receive SMS notifications from CallCrew, including missed-call alerts, job notifications, overflow job offers, and account updates. Message and data rates may apply. You may opt out of non-essential SMS notifications at any time by replying STOP or adjusting your notification preferences in the app. Opting out of essential service messages (e.g., job offers, security alerts) may require cancelling your account.
1.4 Billing Information
Payment details (credit/debit card numbers) are collected and processed directly by our payment processor, Stripe. We do not store full card numbers on our servers. We retain transaction IDs, invoice amounts, and subscription status.
1.5 Usage Data & Cookies
We automatically collect device type, browser type, IP address, pages visited, and interaction timestamps when you use the Service. We use cookies and similar technologies (local storage, session tokens) to authenticate your account, remember your preferences, and analyze how the Service is used. You can control cookie settings through your browser, but disabling cookies may affect the functionality of the Service.
2. How We Use Your Information
- Provide the Service — answer inbound calls with our AI assistant, capture lead details, and route overflow jobs to contractors in our network.
- Process Payments — manage subscriptions, charge monthly fees, and process commission payments for overflow jobs.
- Improve Our AI — analyze call transcriptions to enhance the accuracy, tone, and responsiveness of our AI assistant.
- Communicate With You — send account notifications, missed-call alerts, billing receipts, and product updates.
- Comply With Legal Obligations — respond to lawful requests and enforce our Terms of Service.
3. Third-Party Services
We rely on the following third-party providers to deliver the Service. Each has its own privacy policy governing its handling of your data:
- Stripe — payment processing and subscription management.
- Twilio — telephony infrastructure for phone number provisioning and call routing.
- Vapi — AI voice agent platform powering our automated call answering.
- Supabase — database hosting, authentication, and backend infrastructure.

4. Data Retention
We retain your account information and call data for as long as your account is active or as needed to provide the Service. After account cancellation, we retain records for up to 12 months to comply with legal, accounting, and dispute-resolution requirements. Call recordings are retained for 90 days after the call date unless you request earlier deletion.

We implement industry-standard security measures including encryption in transit (TLS), encrypted database storage, and role-based access controls. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.
